TICKETING SOFTWARE DATA ENTRY CLERK
Maine State Music Theatre (MSMT) is searching for a full-time nonexempt Ticketing Software/Data Entry Clerk. The Ticketing Software/Data Entry Clerk position is an exciting opportunity to be part of the senior leadership of MSMT. The Ticketing Software/Data Entry Clerk will maintain the patron database, pull and create reports, and assist the Audience Services Manager with daily operations of the box office. The position starts as soon as possible.

Essential functions include (but are not limited to):
- Is the point person for the MSMT ticketing software Patron Manager
- Troubleshoot and update Patron Manager
- Build theatre season within the ticketing system Patron Manager
- In charge of all updates and additional app integration
- Create fund allocations for the development office
- Creating reports for Senior Staff
- Assist with printing tickets and troubleshooting any ticket printer issues
- Create reports that return accurate information
- In charge of Payment Card Industry compliance
- Assist the Box Office Manager with customers as needed
- Cover the box office when the manager is not in the office
- Assist the Artistic Director in creating documents
- Working nights and weekends as required
QUALIFICATIONS Preferred candidates will have:
- Proficiency in creating reports that return accurate information
- Exacting attention to detail and problem-solving
- Editing skills for a written copy
- Proficient with Google Suite, Microsoft (Word, Excel), Adobe, and other applicable software programs
- Superior organizational, interpersonal, time management, multi-tasking, problem-solving, and communication skills
- Experience working in a fast-paced, energized, and quickly changing environment
- Able to work independently and as a team player
- Have a friendly, warm, positive, respectful, and professional attitude

The following qualifications would be a plus, but do not be deterred as this position will be trained:
- Knowledge of CRM functionality (primarily Salesforce) is helpful, but training for the Patron Manager Administration Certification shall be provided
- Knowledge of Patron Manager or other CRM software a plus
- Basic knowledge of ticket printers

Work Week and Hours
- MSMT standard work week is Mon – Fri 8:30am to 5:00pm
- Attending Saturday Meet & Greets on each first day of rehearsal during the summer season

Compensation
- $20.00 an hour
Exempt and Hourly Positions
- This is a non-exempt hourly position and is eligible for overtime after 40 hours in a given week

ASSISTANT DEVELOPMENT DIRECTOR
Maine State Music Theatre (MSMT) is searching for a full-time/exempt Assistant Development Director. The Assistant Development Director position is an exciting opportunity to be part of the Senior Leadership of MSMT. They will assist the Development Director with all Development functions for the organization and frequently perform shared duties outside of Development, including some areas of marketing and communications. The Assistant Development Director works with the Development Director and in consultation with the Artistic Director, Managing Director, Director of Marketing and Communications and in consultation with the MSMT Board of Directors.

Essential functions include (but are not limited to):
Sponsorship and Advertising
- Assist the Development Director, develop and implement an annual sponsorship and advertising plan
- Foster and maintain sponsor and advertiser relations in the community and throughout the state
- Procure show sponsors for each production season, adhering to budgetary goals
- Create and update contracts for sponsors on an annual basis and coordinate with the marketing department to ensure all benefits are being received
- Procure advertisers for the program for each production season adhering to budgetary goals
- Invoice and collect funds from sponsors and advertisers based on agreed rates
- Distribute and track ticket vouchers for sponsors
- Procure, organize, and follow-up on any trade with sponsors and advertisers
- Organize/setup portions of the theatre lobby with sponsor/advertiser banners and product placement in coordination with the Marketing department
- Research, build, and maintain community partnerships for shared development opportunities
- Create and implement outreach strategies
- Update the Board of Directors and MSMT Senior staff on current partnerships throughout the year
- Generate monthly sponsorship reports and track progress toward goals
- Provide support for Grant Research as requested by Development Director
- Provide concierge ticketing support to sponsors as needed
Event Management
- Attend all development events. Many events will be off-site and outside of standard business hours
- Assist with the organization and set up of Development events as needed
- Coordinate all spring preview and summer sponsor concerts with sponsor and community partners.
- Assist with the organization, set up, and breakdown of each Opening Night Party
- Set up for each board meeting and take roll call before the start of each meeting
- With the Development Director, chaperone MSMT organized group trips to Boston, NYC, Lancaster, PA, and London as needed. Additional trips may be added in the future.
- Set up for Sensory Friendly Events with the support of a volunteer team
- Represent MSMT at community events, functions, trips, and meetings as needed.
- Working nights and weekends as required
Other Duties
- Assist Development Director with the acknowledgment of donations
- Maintain and improve development-related data through accurate data entry and ongoing clean-up efforts in CRM
- Update the content of sponsorship materials
- Assist with tracking departmental expenses
- Give tours of the MSMT Creative Studios and Backstage areas to sponsors and donors
- Give curtain speeches for the Theatre for Young Audiences performances
- Proofread and offer feedback on development materials and marketing materials as needed
Qualifications
Preferred candidates will have:
- Bachelor’s degree in arts administration, non-profit management, communication, related field, or real-world experience
- Minimum two years of development and/or marketing experience or relevant experience in non-profit fundraising, marketing, relationship management, or related fields
- Proficient with Google Suite, Microsoft (Word, Excel), Canva, Adobe, Dropbox, and other applicable software programs
- Experience in arts administration and/or arts education a plus
- Have a friendly, warm, positive, respectful, and professional attitude
- Knowledge of Patron Manager or other CRM software a plus
- Superior organizational, interpersonal, time management, multi-tasking, problem-solving, and communication skills
- Expert attention to detail and accuracy
- Proven success at meeting and exceeding revenue goals
- Proven successful interactions with Boards and a diverse array of community relationships
- Experience working in a fast-paced, energized, and quickly changing environment
- Driver’s license and clean driving record required

- MSMT standard work week during this time period are Mon – Fri 8:30am to 5pm
- Night and Weekend event hours vary and will be outside of standard working hours
Summer Season (June – August)
- MSMT standard work week during this period is Mon- Sat 9:00 – 5:00 PM, though longer hours will happen
- An average work week during the producing summer season is between 50-70 hours. All positions will work weekends, holidays, and evenings as required per department.
- Attendance is mandatory at Opening Night Celebration and other development events, which can extend until midnight.
- $40,000 – $45,000 annually based on experience. This is an exempt salaried position and not eligible for overtime
